Rolling out new tools or updates alone is not enough. Only when employees are aware, motivated, and capable of working differently does the investment deliver real value. That is why we approach user adoption as a change journey, with clear objectives, measurable outcomes, and practical day-to-day support. Our approach explicitly follows the ADKAR methodology (Awareness, Desire, Knowledge, Ability, Reinforcement) and is fully tailored to the organization.
User Adoption Is Essential for Change
For us, user adoption means the conscious decision of users to truly apply a change in the digital workplace within their daily work, enabling them to work at least as efficiently and effectively as before, or even better. This requires a structured programmatic approach, not a standalone training session.
Change Requires Adoption
In virtually every organization, IT environments are constantly evolving. Sometimes these are small updates, but they can also involve major changes such as the introduction of new tools, processes, or devices. Examples include:
Regardless of the type of change, it impacts employees’ working day, making technology adoption critically important.
Our 5-Step Approach
We combine a proven 5-step approach with the ADKAR framework. This ensures that both the organization and the individual move forward together.
1. Mapping the Change (Awareness)
We start with the context: what exactly is changing, why is it necessary, and who will be affected? We create a clear change case so that everyone understands why the change is happening and what impact it will have on the digital workplace. This creates Awareness, the essential first step in overcoming resistance to change. Typical drivers we clarify include lifecycle and support requirements, growth or mergers, new legislation, cost reduction, or innovation.
2. Impact Analysis & Audience Segmentation (Desire)
No two organizations are the same. We analyze the current versus desired situation, policies, culture, change history, and employee perceptions. For each target audience, we determine what is changing, what benefits it will bring, and which barriers need to be removed. By clearly communicating the benefits for each role (what’s in it for me), we strengthen Desire, the intrinsic motivation to participate.
3. Advisory Services & Learning Content Development (Knowledge)
Based on the impact analysis, we design an adoption plan and develop customized learning materials that reflect the reality of your teams. Examples include short videos, animations, Quick Reference Cards (QRCs), user guides, scenario-based training, and guided practice sessions. The goal is targeted Knowledge: providing exactly the information people need to work differently tomorrow.
4. Delivery Through Pilots & Phased Rollout (Ability)
Whenever possible, we start with pilot groups before rolling out the solution in phases. Users receive the right level of support step by step, ranging from bite-sized learning and Q&A sessions to one-on-one workplace coaching. We monitor usage and feedback and make adjustments where needed. In this way, Ability develops: the practical capability to perform successfully using the new way of working.
5. Reinforcement & Aftercare (Reinforcement)
The journey does not stop after deployment. We review the achievement of objectives, monitor KPIs such as adoption, productivity, and service desk impact, and provide aftercare where necessary through refresher sessions, office hours, or additional coaching. This delivers the Reinforcement needed to ensure new behaviors become lasting habits.
Communication That Drives Change
Communication forms the common thread throughout the entire journey. From leadership to end users, everyone receives targeted, timely, and relevant messages through the channels that work best within the organization, such as email, intranet, town halls, team updates, and champion networks. We support organizations with templates, planning, and content to ensure communication remains consistent and not only informs employees about the change but also actively drives behavioral change.
Relevant and Tailored Learning
Standard training programs often cover functionality that your teams never use. Fast Lane designs customized learning materials featuring familiar scenarios, screen flows, and real-world terminology. This makes learning easier for employees and more effective for achieving results. From short how-to videos to comprehensive learning journeys, we provide exactly what is needed for each target audience and each phase. Examples of learning materials:
- Video & animation for quick how-to guidance and awareness
- Quick Reference Cards for on-the-job support
- User guides & checklists for complete scenarios
- Live (virtual) training sessions for deeper learning and interaction
- Workplace support (one-on-one coaching) for teams that need additional guidance
The Fast Lane Method
Fast Lane defines clear KPIs and measurement points in advance:
- Adoption metrics: active usage per scenario, feature adoption, time-to-productivity
- Service impact: reduction of "how-to" tickets, shorter resolution times
- Business value: faster collaboration, fewer context switches, higher-quality output
- This means success is measured not by training delivered, but by behavioral change and business outcomes
