1. Kickoff: Inspire and create buy-in

  The program starts with an inspiring kickoff for all stakeholders and users. During this session, we clearly explain what will happen, why AI/Microsoft Copilot is important, and what the program will look like. Through demos and department-specific scenarios, we showcase the possibilities of AI/Microsoft Copilot. During an interactive presentation, employees are intrinsically motivated (Awareness).  

2. Training sessions: Building skills

  Through a series of training sessions, employees learn step by step how to work with AI and Microsoft Copilot. The program starts with the fundamentals, “Working Smarter with AI,” and then progresses to more advanced topics such as “Create Effective Prompts” and “Build Agents in Copilot Studio.” Each training session is tailored to the target audience (end users, key users, and IT staff) and focuses on recognizable day-to-day tasks.  

3. Office Hours: Questions and deeper insights

  During accessible Office Hours sessions, users can ask questions and share experiences. Each session focuses on a central theme, such as ethics, smart prompting, or AI bias. Trainers share best practices and success stories, while interactive quizzes help reinforce learning.  

4. Best Practices Hub: Community and knowledge base

  A central Teams site is set up where employees can share tips, successes, and example prompts. Resources include a prompt library, a discussion forum for questions, and success stories from within the organization. This encourages peer learning and provides an ongoing knowledge base, even after the program has ended.  

5. Champions Program: Internal ambassadors

  Intrinsically motivated employees who act as the first point of contact (champions) become ambassadors and are recognized as key contacts within the organization. They receive additional training and coaching, support colleagues, and help keep adoption alive after the program has concluded.  

6. Communication & change management

  Clear communication is essential. We develop a communication plan that spans the entire adoption period, from announcement to updates and closure. Messages are transparent (why AI/Microsoft Copilot, what are the benefits) and focused on engagement (celebrating successes, gathering feedback).  

7. Monitoring & reporting

  Progress is measured and reported back to the client. Using the Copilot dashboard and surveys, we monitor activation rates, usage frequency, and feedback. Interim reports make the impact visible and provide opportunities for course correction where necessary.  

8. Evaluation & reinforcement

  Every two weeks, we evaluate progress with the client and adjust the plan where necessary. At the end of the program, a final evaluation takes place: have the objectives been achieved?
